Privacy Policy

How Landlod collects, uses, protects and retains your data.

1. Who we are

Landlod Digital Services Limited (“Landlod”, “we”) is a company registered in Uganda. You can reach us at info@landlod.co.ug, on 0200 881 100, or at Africourts Building, Buganda Road, Kampala.

2. What we collect

  • Identity & contact: name, phone number, email address.
  • Property & tenancy data: properties, spaces, tenures, rent amounts, invoices, balances.
  • Payment data: mobile-money payment confirmations — amount, channel, channel transaction ID, and the payer number as provided by the channel. We do not store mobile-money PINs.
  • Bank details (owners/managers): account number, bank, and the account name returned by the bank during verification.
  • Guest-stay data: guest name and phone number supplied by the host, stay dates, invoice and payment status.
  • Communications records: every SMS, email and in-app notification we send is logged (recipient, channel, timestamp, delivery status); tenant notices are kept as an audit trail.
  • Link telemetry: short links (such as receipt links) record usage counts, last-used time and last-used IP address — for security and support tracing.
  • Technical: session cookies for login, and standard server logs.

3. Why we process it

  • Operating the service: matching payments to spaces, issuing receipts, settling funds to banks, and sending the alerts and reminders the service exists to send.
  • Fraud prevention: verifying payout accounts with banks before any transfer is made.
  • Security: token-authorised links, access scoped to your tenancy relationships, and telemetry on link use.
  • Support and dispute resolution: permanent receipts and audit trails serve both parties to a tenancy.

4. Who we share it with

  • Payment channels: FlexiPay, MTN Mobile Money and Airtel Money — to confirm and reconcile payments.
  • Banking partners: Stanbic Bank and Agent Banking rails — to verify accounts and execute settlements.
  • Delivery providers: the SMS and email providers that carry our notifications.
  • Cloud infrastructure: the hosting and storage providers that run the platform. Documents are stored in private, access-controlled storage.
  • Within your tenancy relationships:by design, your counterparties see what the service is for — a landlord sees who paid rent on their property; an observer added to a property is notified of collections; a manager’s authorised staff see their assigned portfolio. We never sell personal data.
  • Public verification pages:show receipt facts (names, property, amount, date) to anyone holding that receipt’s QR code or link — by design, and never bank account numbers.

5. Retention

  • Receipts and payment/settlement records are retained permanently — they are the proof layer of the service and support legal and tax needs.
  • In-app notifications: read notifications are deleted after 12 months; unread after 24 months.
  • Communications delivery logs and tenant notices are retained for audit purposes.
  • On account closure, financial records are typically retained as the law requires; details of what is deleted or anonymised are being finalised with counsel.

6. Your rights

Under Uganda’s Data Protection and Privacy Act, 2019, you have rights of access, correction, objection and deletion (subject to financial-record retention duties), and the right to complain to the Personal Data Protection Office (PDPO). To exercise any of these rights, contact info@landlod.co.ug.

7. Security

We use encrypted transport; token-authorised document links; encoded identifiers in URLs (no enumeration); access scoped by relationship; bank account verification before any payout; and monitored banking channels.

8. Children

The service is for adults entering tenancy and payment relationships; it is not directed at children.

9. Changes to this policy

We will post any changes to this page and update the “last updated” date above. Material changes will be communicated through the notification channels you already use with us.
